Business Need / Purpose of Role

 

The Documentation Executive reporting to the Location Manager or respective assigned reporting line manager based out of Dar es Salaam, Tanzania shall primarily be responsible to complying with the import & Export documentation procedures of authorities and Customs at the same time adhering to policies and procedures, to assist clients in having a smooth operation in taking delivery of their cargo. This should be done while extending quality services to Principals.

 

 

Objectives & Measurement – Key Responsibilities

 

Manifests:

  • Ensuring timely manifests are received from load ports through efficient follow up for the same.
  • Processing of principal container manifests in the system and downloading the same into ships.
  • Printing and cross checking the manifest to ensure updated shipment. In case of any discrepancies, liaising with load ports before lodging of the manifests.
  • Editing and updating any incorrect information or codes on the manifest.
  • Check all correction advises received from port of loading and update all the necessary corrections in the manifest.
  • Filing the manifest and submitting the hard copies of the same.

 

Arrival notices:

  • Printing and dispatching the checked original arrival notices upon completion.

 

CFS Release Orders:

  • Printing of CFS release orders and submitting same to the relevant CFS operator for preparation prior vessel arrival.

Invoicing:

  • Checking and preparing charges invoices for the entire manifest and obtain approval and signing of the Commercial team.
  • Ensure accurate charges update in the system.

 

Rebates:

  • Timely preparation of rebates for PCC carriers and sending to the CFS operators for approval and subsequent payment.

Knowledge, Skills, and Abilities

 

  • Competent user of the Microsoft Office suite including Outlook, Excel, and Word.
  • Being able to communicate verbally/writing in a clear and concise manner.
  • Balance multiple tasks, changing priorities & operate within a deadline-oriented environment.
  • Good interpersonal relationship in managing people/sub-ordinates, planning, organizing.
  • Excellent attention to minute details.
  • Self-driven, organized, good communication skills.
  • Strong planning and coordination skills.
  • Strong Problem Solving & Analytical Skills.
  • Excellent Time Management Skills.
  • Having a global perspective and possess a progressive thinking skill.

 

 

Education, Qualifications, Certifications, and Licenses

 

  • 1-3 years hands on experience in the same function within a shipping agency/Logistics /Maritime domain.
  • Proficiency in MS Office application (word, excel, outlook, PowerPoint, etc.) and related internal systems.
  • Knowledge of customer base and their requirements.
  • Good knowledge of Shipping industry.
