We are seeking a highly organized and detail-oriented individual to join our team as an Office Administrator and Data Entry Specialist. The ideal candidate will play a key role in ensuring the smooth and efficient operation in the office while also supporting our accounting functions.
Responsibilities:
- Perform day-to-day office administrative tasks including answering phones, responding to emails, and managing correspondence.
- Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.
- Assist in managing office budgets and expenses.
- Handle data entry tasks with precision and efficiency, ensuring accuracy and completeness of information.
- Prepare, compile, and sort documents for data entry.
- Enter accounting and financial data into Tally software with accuracy and attention to detail.
- Generate reports, presentations, and spreadsheets as needed using software such as Microsoft Excel, PowerPoint, and Word.
- Assist with basic accounting tasks such as invoice processing, accounts payable/receivable, and reconciliation.
- Support other team members with administrative tasks and projects as needed.
Requirements Knowledge And Experience
- Proven experience in office administration and data entry.
- Basic accounting knowledge and experience working with accounting software, preferably Tally.
- Proficiency in computer software including Microsoft Office Suite (Excel, PowerPoint, Word, Outlook).
- Excellent organizational skills with the ability to prioritize tasks and meet deadlines.
- Strong attention to detail and accuracy.
- Excellent communication skills, both written and verbal.
- Ability to work independently with minimal supervision and as part of a team.
- Fluent in languages Swahili and English
